Status Meanings

Understanding what each status means helps you work with the system more effectively.

Book Statuses

Status What it means Can it be borrowed?
Available On the shelf, ready to be borrowed Yes
Checked Out Currently borrowed by someone No -- they need to return it first
On Hold Reserved and set aside for someone No -- it's waiting to be picked up
In Repair Returned damaged, being fixed No -- wait until it's repaired
Withdrawn Removed from the collection (lost, old, or deaccessioned) No -- it's no longer in the collection

Fine Statuses

Status What it means Does it block borrowing?
Outstanding Full amount is still owed Yes
Partially Paid Some money has been paid, but there is still a balance Yes
Paid Fully paid No
Waived Fine was forgiven by a librarian No

Hold Statuses

Status What it means
Pending Waiting for a copy to become available
Ready A copy is set aside and waiting for pickup (usually 3 days to pick up)
Expired The borrower did not pick up the book in time
Fulfilled The borrower picked up and checked out the book
Cancelled The hold was cancelled

Purchase Order Statuses

Status What it means Effect on budget
Draft Being prepared, can still be edited None
Submitted Sent for approval None
Approved Approved by an authorized person Budget is reserved (encumbered)
Received Materials have arrived and are added to the catalog Reserved budget becomes "spent"
Cancelled Cancelled at any stage Reserved budget is released

Enrollment Statuses

Status What it means Can they borrow?
Active Currently enrolled Yes
Graduated Has graduated No
Dropped Dropped from enrollment No
Transferred Transferred to another school No
On Leave Currently on leave of absence No

Book Condition

Condition What it means
New Brand new book
Good Normal wear, still in good shape
Fair Noticeable wear but still usable
Damaged Needs repair before it can be used again
Lost The book has been lost
