Lending Books (Checkout)

This is the most common task you will do. Here is how to lend a book to a student or teacher.

  1. Click Borrow Books in the sidebar menu.
  2. In the Book Search box, type the book's barcode, accession number, or title. You need to type at least 2 characters.
  3. A dropdown list appears. Click the correct book.
  4. Check the book details on the right side of the screen. Make sure the Status says "Available." If it says anything else (like "Checked Out" or "On Hold"), you cannot lend this book right now.
  5. In the Member Search box, type the student's or teacher's name, email, or student ID.
  6. A dropdown list appears. Click the correct person.
  7. Check the member details. Look at the blocking reasons area carefully.
    • If it says the person has overdue books or unpaid fines, you cannot lend them a book until those are resolved.
  8. The due date is set automatically based on your school's borrowing rules. You can change it if needed.
  9. Click Confirm Checkout.
  10. You will see a green success message showing the book title, the borrower's name, and the due date.
  11. The screen resets so you can process the next transaction.

What you'll see: A green message that says something like "Successfully checked out 'Noli Me Tangere' to Juan dela Cruz. Due: April 14, 2026."

If something goes wrong:

  • "Item not available" -- The book is not on the shelf. It might be checked out, on hold for someone, being repaired, or removed from the collection. Check the book's status to find out.
  • "Patron enrollment status is 'graduated'" -- Only currently enrolled students can borrow books. If the student's status is wrong, ask your registrar to update it in the Student Information System.
  • "Cannot check out -- patron is blocked" -- The person has overdue books or unpaid fines. They need to return their late books or pay their fines first.
  • "Loan limit exceeded" -- The person has already borrowed the maximum number of books allowed (usually 3). They need to return some books first.
